Restaurant Manager - "RM"
System description:
RM is a comprehensive information system covering all the activities related to the automated management of a restaurant, with numerous advantages over the traditional ways of managing a catering business. The RM system increases the efficiency, precision and secrecy in business. The system is based on the promotion of work discipline and on the respect of a strict hierarchy in the daily operations. This is why RM has three levels. The first (initial) level is reserved for the waiters, barmen and suppliers. The second (intermediate) level is used by the head waiter or supervisor. The third (highest) level is intended for the owner or the manager. Only the owner has an overview of the complete operation of a restaurant business.
System components:
Computers based on the PC technology represent the core of the system, which also includes printers and the RM software package installed on the computers. Only authorized employees have access to the RM system, and each has his own password. The system is conceived in a way to eliminate the need for direct communication among the employees, instead, the RM computer system provides the platform for the exchange of business information, thus allowing a more efficient operation.
Functional characteristics:
- CASH REGISTER - All the standard functions of a cash register are supported including the standard operations. Functional expansion includes simple coding of articles, order monitoring, monitoring per table, error correction, general price scaling and individual price correction, menu and price list printing, reduced time spent by the waiter at the cash register, lower error margin, automatic redirection of a given order to the kitchen, pastry shop and bars.
- BAR INVENTORY - The inventory of the bar is performed easily and quickly. The bartenders are also automatically given a summary of requests. Discrepancies between the actual inventory at the bar and the inventory provided by the computer are detected immediately by the proprietor. Differences in the inventory at the end of each shift are also indicated.
- RESTOCKING OF SUPPLIES - When necessary RM sends a restocking request to the supplier - thus directly reducing the time needed to restock the restaurant. Accessing the system in his special mode, the supplier also enters the goods purchased and can verify each element in the supply chain at any moment.
- SUPPORT FOR WORK IN SHIFTS - Work in shifts is fully handled by RM. This means that RM opens and closes shifts, registering when each of the waiters started working, when did he end his shift and the volume of sales he made. RM also keeps track of the active time of the restaurant, providing a complete review of consumption of individual supplies, but it also keeps track of the daily business volume, supports various modes of payment etc.
- BOOKKEEPING - Thanks to RM the restaurant proprietor, can review the whole financial status of the establishment per shift, per day, month or year. The system also gives him a list of activities of all employees. All the reports are provided either as a global graphic chart or in specific numeric figures.
- SUPPLIES RM - keeps track of the supplies, and signalizes in advance what stock is about to fall beyond the predefined critical value. The system also provides reports on the use of any particular article, etc.
- ADVERTISING SUPPORT - When the system is not used, RM displays advertisements on the screens ranging from important messages addressed to the clients (for example the dish of the day, working hours... ) to general sponsored advertisements attractive to restaurant guests. Optionally, instead of advertisements the computer screens can be used to display the time or some other general service. Still the RM system itself is the best advertising for the restaurant since it evidences an efficient and modern way of running a business giving a major advantage over the competition.
- BUSINESS SECRECY - Thanks to the hierarchical structure of the RM system, every user can access the system only within the limits of his specific authorization. A complete overview of the business operation is reserved only for the highest user level - proprietor.
- COMPREHENSIVE REPORTS - At a given request, RM system can supply a number of different reports. To summarize the operation of the establishment the proprietor will have to spend only the time needed for a printout to come out - be it a daily report or an annual report.
- COMPUTER NETWORK OPTION - The option of connecting a number of RM systems satisfies the needs of modern business and it can encompass different functions. Thus it allows, for example, the creation of a joint warehouse for several restaurants, and it also offers the possibility of running a chain of establishments from a single center. The system itself supports a number of subsystems (each subsystem comprises a bar and its relative cash registers and printers)
- MESSAGE EXCHANGE OPTION - The possibility of exchanging messages represents a very efficient way of communication for the employees because it does not require personal presence or contact. Messages left by others for a given employee are listed every time he logs on to the system.
- NOTES / MEMOS - This option is accessible to any system user. It is designed to allow updates on activities that are not directly related to the regular business operation such as the purchase of a new faucet or light bulbs, unplanned expenditures etc. A review of such needs is extremely helpful but there is no need to complicate the daily standard operation of the system with them.
